Welcome to EQness. This document outlines the terms and conditions for participating in psychotherapy, coaching services, workshops, courses, and seminars offered by us. Understanding the nature of these services, expectations, and policies is crucial for our professional relationship. Please read this agreement carefully before engaging in services.
Section 1: Introduction
This agreement serves as a comprehensive guide for clients seeking psychotherapy, coaching, or participation in workshops, courses, and seminars at EQness. It is designed to clarify the scope of services offered, ensuring clients make informed decisions about their participation.
Section 2: Understanding Psychotherapy and Coaching Services
- Psychotherapy Services: Psychotherapy addresses mental health issues, emotional distress, and behavioral patterns through psychological counseling. It is a holistic engagement focusing on mental, emotional, relational, or spiritual health. Psychotherapists work collaboratively with clients to develop solutions to problems, enhancing overall well-being.
- Coaching Services: Coaching focuses on personal growth, goal achievement, and lifestyle enhancement. It helps clients explore specific concerns and opportunities, assisting them in following through on commitments and developing self-discipline and decision-making skills.
As part of our services, we use science-based methodologies proven to promote mental health and well-being. These practices are grounded in cognitive-behavioral techniques designed to help clients modify unhelpful behaviors and thought patterns. Techniques may include Cognitive Behavioral Therapy (CBT), Acceptance and Commitment Therapy (ACT), Mindfulness-Based Interventions, Positive Psychology, Motivational Interviewing and others. Whether you are receiving psychotherapy or coaching, these techniques will be adjusted to best meet your needs.
Section 3: Confidentiality
Client information and session content are strictly confidential, except where confidentiality would violate the law (e.g., imminent harm to self or others, abuse/neglect reports) or authorized by the client.
Section 4: Sessions
Sessions are scheduled based on mutual agreement to support the client’s goals. A minimum of 24-hour notice is required for cancellations or rescheduling to avoid being charged for the session.
Clients are expected to initiate the session within a 10-minute grace period.
Session Length and Additional Charges
Standard sessions are 50 minutes. Depending on the client’s needs, sessions may occasionally extend up to 60 minutes at no extra cost. If a session exceeds 60 minutes, additional fees will apply, billed in 15-minute increments:
If the session lasts 1 hour and 7 minutes, an additional 15-minute fee will be charged.
If the session lasts 1 hour and 25 minutes, an additional 30-minute fee will be charged.
This policy helps manage client expectations and respect the therapist’s time and professional boundaries.
Calm & Clarity Session
The Calm & Clarity Session is a 30-minute online space designed to offer in-the-moment support through mindfulness, stress-management techniques, or light-touch conversation.
These sessions are not therapy and do not include clinical intake, assessment, treatment planning, or follow-up communication. They are self-contained, single-session experiences intended for short-term support.
Clients must arrive with a clear focus for the session. These sessions are not suitable for trauma work, in-depth therapeutic exploration, or complex psychological concerns.
Section 5: Terms of Service
Services will be provided as determined most effectively by the client’s goals and convenience, including in-person, phone, Zoom, or small group sessions.
Section 6: Payment Methods
EQness accepts payments through Stripe, PayPal, or money transfers. Invoices will be issued via Setmore, Stripe, or PayPal, accepting common debit or credit cards. Fees may be adjusted if initial goals and agreements materially change.
Note on Processing Fees: In the event of a refund, payments made via credit card or Stripe are subject to a processing fee, which will be deducted from the refund amount. This applies to all services.
Section 7: Termination of Services
Any of the parties may terminate services at any time. Ideally, termination discussions will occur in advance to ensure a proper conclusion of the psychotherapeutic or coaching process.
Section 8: Cancellation Policy for Workshops, Courses, and Seminars
Unforeseen circumstances can necessitate cancellation or changes to workshop registration. Our policy is as follows:
- Notification: Participants must notify us via email at hola@eqness.com at least 7 days before the scheduled start date to cancel.
- Refunds:
- Cancellations made more than 7 days before the start date are eligible for a full refund, minus a processing fee.
- Cancellations made within 7 days of the start date are not eligible for a refund. However, as a courtesy, we may offer to apply the fee to a future workshop or similar service, subject to availability.
- No-Shows: Participants who do not show up without prior notification are not eligible for refunds or credits.
- Workshop Cancellation by Us: If we must cancel a workshop due to unforeseen circumstances or insufficient enrollment, participants will be notified and receive a full refund.
- Rescheduling: Individual rescheduling requests cannot be accommodated due to the structured nature of our workshops.
Section 9: Class Passes (e.g., 5-Class Pass)
- Class passes must be paid in full at the time of purchase and are non-refundable once purchased.
- Passes are valid for 90 days from your first attended class or until the final scheduled class of the current term, whichever comes first.
- You must book each class in advance by emailing hola@eqness.com with your name and the date you wish to attend.
- Bookings are confirmed by return email and are subject to availability.
- Cancellations made more than 24 hours before the booked class will allow the session credit to be used for another class within the pass validity period.
- Cancellations made less than 24 hours before the class or non-attendance will result in that class being forfeited.
Section 10: Gift Cards
Gift cards are available for individual sessions or BrainWave Blueprint services. They are valid for 12 months from the date of purchase, are non-refundable, and cannot be exchanged for cash.
- Cancellation Policy: Gift card sessions follow the same policy as standard sessions and must be canceled or rescheduled at least 24 hours before the scheduled session. If a cancellation is made within 24 hours or the recipient does not attend the session, the gift card will be considered redeemed with no refunds or rescheduling offered.
Section 11: BrainWave Report Services
The BrainWave Report is an innovative assessment tool that uses EEG technology to provide a personalized report of brain activity. Based on the latest neuroscience findings, it offers insights into cognitive states such as focus, relaxation, and mental balance. The BrainWave Report is for educational and personal development purposes only. It is NOT a medical or psychological diagnostic tool and should not be used as a replacement for mental health or medical treatment. This service does not diagnose mental health conditions or provide therapeutic interventions.
- Consent and Confidentiality: By purchasing the BrainWave Report, clients consent to data collection and analysis for the purpose of creating the report. All data collected is confidential and used solely for this purpose.
- Delivery of Reports: The BrainWave Report will be emailed within a 2-week window following data collection.
- Cancellation Policy: BrainWave sessions follow the same policy as standard sessions and must be canceled or rescheduled at least 24 hours in advance. If notice is given within 24 hours or the client does not show up, the session is lost and cannot be rescheduled.
Section 12: Liability
Clients acknowledge that coaching, workshops, courses, seminars, and BrainWave Report services offered by EQness are not substitutes for mental health or medical treatment. Participation in these services is for educational and personal development purposes only.
Clients agree to seek appropriate medical or mental health intervention if needed.
Section 13: Emergency Contact Information
Our services are not intended for immediate crisis intervention. If you or someone you know is experiencing a mental health crisis, please contact local emergency services or a crisis hotline immediately.

Section 14: Agreement to Terms
By engaging in psychotherapy, counseling, coaching, courses, workshops, seminar services, purchasing gift cards, session bundles, or BrainWave Report services with EQness, clients acknowledge they have read, understood, and agreed to the terms and conditions outlined in this document.
